Terms of Service

1. Acceptance of Terms

By accessing or using the CeyMail website located at ceymail.com, or by downloading, installing, or using the CeyMail Mission Control software, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service (“Terms”). These Terms constitute a legally binding agreement between you (“User,” “you,” or “your”) and Time Macro LLC (“CeyMail,” “we,” “us,” or “our”).

If you do not agree to these Terms in their entirety, you must not access the website, create an account, or use the CeyMail Mission Control software. These Terms apply equally to the CeyMail website (including all account management, subscription, and billing functionality) and the self-hosted CeyMail Mission Control software deployed on your own infrastructure.

Your continued use of any CeyMail service after any modification to these Terms constitutes your acceptance of such modifications. We encourage you to review these Terms periodically to stay informed of any changes.

2. Description of Services

CeyMail provides a suite of services designed to simplify self-hosted email server management. The services are divided into two primary components described below.

2.1 CeyMail Website (ceymail.com)

The CeyMail website serves as the central hub for all customer-facing operations. It provides marketing and product information, account registration and management, subscription billing and plan selection, license key generation and management, product documentation and knowledge base resources, and support contact channels. All account and billing operations are conducted through the website, and users must maintain an active account to access paid subscription features.

2.2 CeyMail Mission Control

CeyMail Mission Control is a self-hosted mail server management software application that is installed and operated on the user's own server infrastructure. It provides a web-based dashboard for managing and configuring Postfix (SMTP mail transfer agent), Dovecot (IMAP/POP3 mail delivery agent), OpenDKIM (email authentication), SpamAssassin (spam filtering), and related mail server services. CeyMail Mission Control is designed to streamline the administration of these open-source mail server components through a unified and accessible interface.

3. Account Registration

To access certain features of the CeyMail services, you must create an account. You must be at least 18 years of age to register for an account. By creating an account, you represent and warrant that you meet this age requirement and that all registration information you provide is truthful, accurate, current, and complete.

Each individual may maintain only one CeyMail account. You are solely responsible for maintaining the confidentiality of your account credentials, including your password, and for all activity that occurs under your account. You agree to immediately notify CeyMail at support@ceymail.com of any unauthorized use of your account or any other breach of security.

CeyMail will not be liable for any loss or damage arising from your failure to maintain the security of your account credentials. You may not use another person's account without their explicit permission and without CeyMail's prior written consent.

4. Subscription Plans and Billing

CeyMail offers four subscription tiers: Community (free), Pro ($29/month or $290/year), Business ($79/month or $790/year), and Enterprise ($199/month or $1,990/year). Each tier provides access to a defined set of features and usage limits as described on the CeyMail pricing page. The Community tier is available at no cost and provides core mail server management functionality with limited capacity.

All paid subscription billing is processed securely through Stripe. Subscriptions automatically renew at the end of each billing cycle (monthly or annually) unless cancelled by you prior to the renewal date. You may cancel your subscription at any time; however, cancellation will take effect at the end of the current billing period. You will retain access to your paid tier features until the end of the period for which you have already been billed.

Upon cancellation or expiry of a paid subscription, your license will be downgraded to Community tier limits. Your Postfix and Dovecot mail services will continue to run, but all paid features will be disabled and tier-specific limits will revert to Community thresholds. CeyMail does not provide refunds for partial billing periods, unused time, or any reason outside of what is required by applicable law.

5. License Keys

CeyMail Mission Control uses Ed25519 cryptographically signed license keys to authenticate and authorize software usage. Each license key is bound to a single server through a unique machine ID and license key pair. One license key permits one activation on one server only. If you wish to move your installation to a different server, you must deactivate the existing activation and re-activate on the new machine.

License keys enforce tier-specific limits including, but not limited to, the number of domains, mailboxes, and administrator accounts you may configure. These limits correspond to the subscription tier associated with the license key. Upon license expiry, a 14-day grace period is provided during which all paid features remain active. If the license is not renewed within this grace period, the installation will automatically downgrade to Community tier limits.

CeyMail reserves the right to revoke any license key at any time if the user is found to be in violation of these Terms, including but not limited to circumventing license restrictions, redistributing license keys, or engaging in abusive conduct. Revocation of a license does not entitle the user to a refund.

6. AI Spam Screening

CeyMail Mission Control provides three distinct spam screening modes. You may select and configure your preferred mode through the Mission Control dashboard. Each mode operates differently with respect to data handling and processing.

6.1 Cloud Mode (Google Gemini)

When Cloud Mode is enabled, email metadata and content including the sender address, recipient addresses, subject line, and message body (up to 4,000 characters) are sent directly from your server to the Google Gemini 2.5 Flash API for spam classification. This data transmission occurs directly between your server and Google's API infrastructure and does not pass through any CeyMail-operated servers. Cloud Mode is strictly opt-in; it is not enabled by default and requires you to explicitly activate it in the Mission Control dashboard. CeyMail uses the paid Gemini API, which means Google does not use your data to train its models or improve its products. Google retains data for up to 55 days solely for abuse monitoring. Use of Cloud Mode is subject to the Gemini API Additional Terms of Service (opens in new tab).

6.2 Local Mode (DistilBERT)

Local Mode runs a DistilBERT machine learning model entirely on your server. All email processing and spam classification occurs locally, and no email data leaves your server infrastructure under any circumstances when this mode is active.

6.3 SpamAssassin Mode

SpamAssassin Mode uses traditional rule-based spam filtering that runs entirely on your server. No external API calls are made, and all processing is performed locally using SpamAssassin's standard rule sets and scoring mechanisms.

Regardless of the screening mode selected, spam screening logs are retained according to the log_retention_days setting configured by the server administrator. The default retention period is 90 days. Administrators may adjust this value at any time through the Mission Control dashboard.

7. Self-Hosted Software

CeyMail Mission Control is self-hosted software that you install and operate on your own server infrastructure. CeyMail provides the software application only and does not provide server hosting, server management, or infrastructure services of any kind. You are solely responsible for all aspects of your server environment, including but not limited to server security and hardening, data backups and disaster recovery, operating system updates and patching, network configuration and firewall rules, and hardware or virtual machine maintenance.

You are responsible for ensuring that your use of CeyMail Mission Control and the email services it manages comply with all applicable laws and regulations, including but not limited to the CAN-SPAM Act (United States), the General Data Protection Regulation (GDPR, European Union), the Privacy and Electronic Communications Regulations (PECR, United Kingdom), and Canada's Anti-Spam Legislation (CASL). CeyMail does not monitor or control the email you send or receive and cannot ensure compliance on your behalf.

CeyMail is not responsible for email deliverability issues that arise from your server configuration, IP address reputation, DNS record settings, blacklist status, or any other factor within your control or related to your infrastructure.

8. Acceptable Use

You agree to use the CeyMail services only for lawful purposes and in accordance with these Terms. When using any CeyMail service, you must not:

  • Send spam, unsolicited bulk email, or unsolicited commercial email in violation of applicable anti-spam laws.
  • Distribute, facilitate, or participate in the distribution of phishing emails, malware, ransomware, or any other malicious content.
  • Circumvent, disable, or otherwise interfere with license tier restrictions, activation checks, or any other security-related features of the software.
  • Reverse engineer, decompile, disassemble, or otherwise attempt to derive the source code of the license verification or activation mechanisms.
  • Resell, sublicense, redistribute, or transfer your license key or access to the CeyMail Mission Control software to any third party without an active Enterprise tier subscription and prior written authorization from CeyMail.
  • Use the services for any illegal activity, including but not limited to fraud, identity theft, harassment, or distribution of illegal content.
  • Impersonate any person or entity, or falsely represent your affiliation with any person or entity through email sent using the software.

Violation of these acceptable use provisions may result in immediate suspension or termination of your account and revocation of your license key, without prior notice or refund.

9. Intellectual Property

The CeyMail Mission Control software, including all proprietary source code, user interface designs, branding assets, documentation, and related materials, is the exclusive intellectual property of Time Macro LLC. All rights not expressly granted to you under these Terms are reserved by Time Macro LLC. The CeyMail name, logo, and associated trademarks are the property of Time Macro LLC and may not be used without prior written consent.

CeyMail Mission Control is built upon open-source software foundations, including Postfix, Dovecot, OpenDKIM, and SpamAssassin. These underlying components retain their respective open-source licenses and are not claimed as proprietary works of Time Macro LLC. Your use of these open-source components is governed by their respective license terms in addition to these Terms.

You retain full and complete ownership of all email data, server configurations, domain settings, and any other content you create, store, or process using the CeyMail Mission Control software. CeyMail does not claim any ownership or license rights over your data. Users on the Community tier are granted a perpetual, non-exclusive license to use the core Postfix and Dovecot management functionality of CeyMail Mission Control, subject to Community tier usage limits.

10. Third-Party Services

The CeyMail services integrate with and rely upon the following third-party services, each of which is governed by its own terms of service and privacy policies:

  • Stripe — All payment processing for subscription billing is handled by Stripe. Your payment information is transmitted directly to and stored by Stripe. CeyMail does not store your full credit card details. Your use of Stripe is governed by Stripe's Terms of Service and Privacy Policy.
  • Google reCAPTCHA v3 — The CeyMail website uses Google reCAPTCHA v3 for bot protection on forms and authentication pages. Your interaction with reCAPTCHA is governed by Google's Terms of Service and Privacy Policy.
  • Google Gemini API — When Cloud Mode spam screening is enabled by the user, email content is sent to the Google Gemini API for classification. This integration is opt-in only and is governed by the Google Gemini API Terms of Service (opens in new tab).
  • Let's Encrypt — CeyMail Mission Control may use Let's Encrypt for automated SSL/TLS certificate provisioning and renewal. Your use of Let's Encrypt certificates is governed by the Let's Encrypt Subscriber Agreement.

CeyMail is not responsible for the availability, performance, accuracy, or policies of any third-party service. We are not liable for any disruption, modification, or discontinuation of third-party services that may affect your use of CeyMail.

11. Disclaimers and Limitation of Liability

THE CEYMAIL SERVICES, INCLUDING THE WEBSITE AND THE MISSION CONTROL SOFTWARE, ARE PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, STATUTORY, OR OTHERWISE. TIME MACRO LLC EXPRESSLY DISCLAIMS ALL WARRANTIES, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ANY WARRANTIES ARISING FROM COURSE OF DEALING OR USAGE OF TRADE.

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, TIME MACRO LLC SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, DATA, OR BUSINESS OPPORTUNITY ARISING FROM OR RELATED TO YOUR USE OF THE SERVICES. WITHOUT LIMITING THE FOREGOING, CEYMAIL IS NOT LIABLE FOR: EMAIL DELIVERY FAILURES OR DELAYS; DATA LOSS ON YOUR SERVER; SERVER DOWNTIME OR UNAVAILABILITY; SECURITY BREACHES, UNAUTHORIZED ACCESS, OR DATA EXFILTRATION ON YOUR INFRASTRUCTURE; OR DISRUPTIONS TO THIRD-PARTY SERVICES INTEGRATED WITH THE SOFTWARE.

IN NO EVENT SHALL TIME MACRO LLC'S TOTAL AGGREGATE LIABILITY TO YOU FOR ALL CLAIMS ARISING FROM OR RELATED TO THESE TERMS OR YOUR USE OF THE SERVICES EXCEED THE TOTAL AMOUNT OF FEES ACTUALLY PAID BY YOU TO CEYMAIL IN THE TWELVE (12) MONTHS IMMEDIATELY PRECEDING THE EVENT GIVING RISE TO THE CLAIM. THIS LIMITATION OF LIABILITY APPLIES TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW AND SHALL APPLY REGARDLESS OF THE LEGAL THEORY UPON WHICH THE CLAIM IS BASED.

12. Termination

You may cancel your subscription and terminate your use of paid CeyMail services at any time through the account management portal on the CeyMail website or by contacting support@ceymail.com. Cancellation will take effect at the end of your current billing period, and you will retain access to paid features until that date.

CeyMail reserves the right to suspend or terminate your account and revoke your license key if you are found to be in violation of these Terms. For general violations, CeyMail will provide 30 days written notice before termination, during which time you may remedy the violation. For severe violations, including but not limited to sending spam, distributing malware, or posing security threats, CeyMail may immediately terminate your account and revoke your license without prior notice.

Upon termination of your subscription or account, your mail server will continue to operate with Community tier limits. Postfix and Dovecot services will remain functional, but all paid features will be disabled and your license key will be deactivated. You are responsible for exporting any data or configurations you wish to retain before or after termination, as CeyMail does not store or have access to data on your self-hosted server.

13. Changes to Terms

CeyMail reserves the right to modify or update these Terms at any time. For material changes that substantively affect your rights or obligations, we will provide at least 30 days advance notice before the changes take effect. Notice will be delivered via email to the address associated with your account and/or through a prominent notice posted on the CeyMail website.

Your continued use of any CeyMail service after the 30-day notice period has elapsed constitutes your acceptance of the revised Terms. If you do not agree with any changes to these Terms, you must discontinue your use of all CeyMail services and cancel your subscription before the changes take effect. Your sole remedy for disagreement with any modification to these Terms is to stop using the services.

Any legal suit, action, or proceeding arising out of or related to these Terms shall be instituted exclusively in the state or federal courts located in the State of Delaware.

You irrevocably consent to the exclusive jurisdiction and venue of the courts of the State of Delaware for all such proceedings and waive any objection to such jurisdiction or venue on the grounds of inconvenient forum or otherwise. The prevailing party in any legal action arising from these Terms shall be entitled to recover reasonable attorneys' fees and costs.
